Privacy & cookies

Pine Atlas Group LLC, a Minnesota business, is responsible for the personal information described in this policy. This policy covers pineatlasgroup.com, its www address and our hosted website alias, including the estimate and quote-request forms. It does not replace the terms of a separate client agreement.

What we collect

When you request an estimate, we collect your selected deliverables, complexity, parts, scenes, duration, available source materials, features, revision count and marketing preference. Your first name, last name, company and email address are required. Your project brief is optional; we collect it if you provide it. When permitted by your browser privacy settings, an inquiry also includes a broad referral-source label (such as Google, LinkedIn or direct) to help us understand how requests reach us. We do not attach a full referral URL or browsing history. We also record the calculated price, reference number, date and versions of the pricing and marketing language shown. Simple or detailed projects with up to 15 distinct components receive an automatic planning price. Larger or highly complex projects are stored as custom-review requests without an automatic price. Marketing is optional and separate from project follow-up.

Our hosting and security providers process technical information such as IP addresses, request times, browser information and server logs to deliver and protect the site. Our form stores short-lived, hour-specific hashes derived from an IP address to limit abuse, rather than saving the raw IP in the inquiry record.

Please do not put passwords, payment information, government identifiers, health information or confidential design files into the form. The site does not collect payments or accept file uploads.

How we use it

We use inquiry information to calculate and retain a planning estimate, assess your request, respond about your project and keep business records. The automatic calculation uses the options you select; it does not interpret your brief or make a binding contract. Final scope and terms require agreement by both parties.

We use optional marketing preferences to manage future project examples and offers. We do not sell personal information, share it for targeted advertising, or use advertising trackers on this site. We do not use inquiry information to train our own AI models.

Marketing is your choice

The marketing checkbox starts unchecked. You can receive an estimate without subscribing. Checking it records a request for occasional marketing; we may ask you to confirm your address before adding it to a campaign. If you provide an email address, an inquiry may receive project-related replies even if marketing is declined.

You can unsubscribe from marketing at any time, without logging in. An opt-out takes priority over a later estimate checkbox. We retain a hashed email suppression record so we can respect that choice. Marketing messages must include an unsubscribe method; requests are honored within 10 business days. Contact us if you also want inquiry follow-ups to stop.

Who can access information

Derek and authorized people working for Pine Atlas Group can access inquiry records when needed for your request. Service providers support website hosting, database storage, security and business email. This site uses OpenAI Sites hosting and Cloudflare infrastructure; correspondence uses Microsoft Exchange Online. Providers may process information in the United States and other countries where they operate, subject to their service terms and applicable protections.

We may disclose information when legally required, to protect rights and security, or as part of a business transfer subject to appropriate confidentiality protections. Inquiry records are not published on the website. We use encrypted web connections and restrict administrative access, but no service can guarantee absolute security.

How long we keep it

Website estimate and quote-request records expire after 12 months and are removed when the form service next performs its cleanup during a submission. If an inquiry becomes a project, relevant information may be retained separately in correspondence, contracts, accounting or project records for as long as needed for that relationship and legal obligations. You can request earlier deletion of an unconverted inquiry.

Form abuse-limit records expire after two hours and are removed during the same cleanup. We keep hashed marketing opt-outs for as long as needed to avoid sending unwanted marketing. Hosting logs and provider backups follow the providers’ retention arrangements; deletion from the active form database does not necessarily remove an existing provider backup immediately.

Cookies & browser storage

We do not add analytics cookies, advertising cookies, advertising pixels or embedded third-party marketing tools. We count aggregate page views and selected actions (video playback, opening an interactive demo, clicking an estimate or quote link, and copying the project email address) by calendar day (UTC), approved page path, broad referral source and mobile/desktop screen-size category for up to 90 days. Video counts include automatic playback and do not prove someone watched the full video. Referral sources are reduced in your browser to a fixed label; optional utm_source labels in shared links can identify a broad channel. We do not retain campaign text or other query parameters. We do not store individual analytics identifiers, full referrer URLs or per-person browsing histories. The counter respects browser Do Not Track and Global Privacy Control signals. Counts begin when each measurement is deployed and do not identify unique visitors. The same event on a page counts at most once until a full document reload; refreshes, internal testing and some bots may be included. No browser identifier is created to join separate visits. Security rate limiting uses short-lived hashed request identifiers as described above. The pencil video and interactive assets are served as part of this website. There are currently no optional tracking categories to accept or reject.

Hosting or security services may set essential cookies when needed to route traffic or prevent abuse. Depending on the protection used, Cloudflare cookies can include __cf_bm (bot protection, usually 30 minutes of inactivity) or cf_clearance (proof that a security check was passed, duration set by the provider). Their presence depends on the request and hosting configuration; they are not all necessarily set on every visit.

When you dismiss our notice, this browser stores a timestamp named pine-atlas-privacy-notice in local storage so we can remember the dismissal for 180 days. It is not an advertising identifier and is not sent with an estimate. Your form answers are not saved in browser storage. You can clear site storage in your browser to show the notice again, or read this page any time from the footer.

Browser controls can block or clear cookies and storage; blocking necessary technologies may affect some services. We do not sell or share information for cross-context behavioral advertising, regardless of Global Privacy Control settings. If we add optional tracking later, we will update this policy and provide any required choice before enabling it.

Your privacy requests

Contact Derek to ask for access, a correction or deletion, or to object to or restrict a use of your information. Include only what is needed to identify the request. We may verify identity before disclosing or deleting records. We respond as required by applicable law, and explain if a legal obligation or another exception prevents a request. If you disagree with our response, reply to request a review.

For visitors whose local law requires a legal basis, we generally process requested project inquiries to take steps toward a contract, use necessary security and business records for legitimate business interests, and rely on consent for optional marketing where required. You can withdraw marketing consent without affecting earlier lawful processing. You may also contact your local privacy regulator.

Children & policy changes

This is a business-services website intended for adults. We do not knowingly collect information from children under 13. Contact us if a child has submitted personal information so we can remove it. We update the effective date above when this policy changes and provide additional notice when required.
